Part-time Administrative Assistant- Website Management and Event Planning

 

Position overview

The administrative assistant role is a position of Christian ministry. Centre personnel who fills the administrative assistant role provides vital support to the Dawn Centre organization to manage administrative operations, coordinate event planning and maintain our digital presence. It is the Dawn Centre’s priority that our clients feel welcome at our centre. The administrative assistant role would include working collaboratively with the team and independently to ensure smooth daily operations and successful events.

 

 

Reporting structure

Reports to: The Executive Director (ED)

Supported and guided by: The Client Care Manager and Nurse Manager

 

QUALIFICATIONS

  1. Expresses full agreement with Clinic’s Purpose, Mission and Vision Statements, the Sanctity of Human Life Statement, the Statement of Faith, and Core Values.
  2. Expresses full agreement with Clinic’s Code of Ethics and Professional Conduct and Lifestyle Standards Policy.
  3. Completion of organizational training and orientation.

KNOWLEDGE AND COMPETENCIES

  1. Ethical: Recognizes and respects the intrinsic worth of each human being.
  2. Computer skills: Familiar with internet/email use, as well as Microsoft Office including Excel and Word. It would be beneficial if the candidate had experience with Google Drive, Canva or Adobe Illustrator, Meta Business and knowledge of a website builder such as Wix.
  3. Communication: Capable of communicating in a way that conveys professionalism to all levels of clientele, public, and the professional/medical community.
  4. Administrative: Good organizational skills and the ability to assist with a range of administrative tasks. Capable of executing administrative duties in accordance with professional standards and organizational values including Christian ethics.
  5. Spiritually mature: Evidences clear practice of holistically integrating Christian doctrines, teaching and practices into daily living.

 

RESPONSIBILITIES

Client Services:

  1. To be the initial contact with clients whether on the phone or at reception.
  2. To book appointments, and to collect health information on forms to assist the nurse or care provider.
  3. To ensure effective client support by assessing the stated needs of the client and booking the client with the appropriate clinic personnel.
  4. To consult the nurse or client care worker at any point when the client has urgent or unclear care needs.
  5. To always reflect the love and grace of Christ to clients.

 

Administrative:

  1. To assist the executive director, nurse manager, client services director, or other personnel with administrative tasks which may include (but are not limited to):
    1. Supply management,
    2. Statistics collection,
    3. Photocopying, printing.
  2. To support the clinic by ensuring a neat and tidy reception area is maintained.

 

Website Management & Digital Communications:

  1. Update and maintain the company website with current information, event announcements, and promotional campaigns.
  2. Coordinate the development and distribution of event marketing materials such as flyers, brochures, and digital content.
  3. Manage social media content planning and email campaigns to generate interest and publicize events.

 

Event Planning & Coordination:

  1. Collaborate with the team to plan and facilitate logistics for in-person and online event planning and fundraising from conception through post-event review.
  2. Manage event registration processes, including setting up online forms, tracking attendees, and preparing registration materials.

 

 

Spiritual Team support:

Participates in staff spiritual activities, such as devotions, team prayer time as requested and encourages spiritual development among the team.

 

Part-time position- 12 hours per week
