Office Administrator

Grace Church West Hill

 

Position: The Office Administrator is the front facing ministry of our church!  This individual needs to be a people person, welcoming those who enter our building, and also able to help keep things flowing as it pertains to the duties and responsibilities below.  The Office Administrator will report to the senior minister and will meet regularly with him and other members of Grace’s ministry team.

Communications:

  1. Helping people and being a welcoming face to Grace, so being present in the office will be important for this role
  2. Checking for mail, receiving packages, and visitors
  3. Correspondence as required (Anniversary Sunday, tax receipts, etc.)
  4. Answering calls and changing messages on the voicemail as needed
  5. Preparing special bulletins (funerals, weddings) as needed
  6. Preparation and production of the church’s annual report (February/March)
  7. Preparation of PowerPoint slides for Sunday worship
  8. Receive and communicate different scheduling (sound booth, Sunday service responsibilities, duty elder list)
  9. Checking the office email to distribute emails to specific parties, or to answer promptly
  10. Updating the electronic sign
  11. Updating announcements
  12. Attend bi-weekly staff meetings to receive and organize pertinent communications

Administrative Responsibilities:

  1. Ordering and purchasing office supplies, postage, paper, envelopes, toner, and printing new offering envelopes
  2. Notifying the minister of visitors
  3. Distribute grocery gift cards and welcome people using our food bank—can also encourage to come on Tuesdays when the Property Manager is present
  4. Leading office volunteers
  5. Maintaining social media presence, and working with webmaster to keep website up-to-date
  6. Work with Property Manager on maintaining calendars
  7. Maintaining databases—Power Church (donation tracking and issuing tax receipts) and Church Centre app
    1. Setting up new envelope numbers
    2. Administer the PAR program—making entries into Power Church
    3. Keeping the congregational list up-to-date, preparing and printing address directory from these databases

 

Hours:16 hrs per week

Wage: $19/hr
