JOB OVERVIEW

The Project & Services Associate role is perfect for candidates with experience and a passion for hospitality and meeting coordination along with office operations. This role serves in the central project and services hub providing administrative and project support to the Senior Program & Services Manager and the HR & Operations Manager and may be assigned to key projects and tasks for other departments as determined by their supervisor.  The Project & Services Associate specializes in hospitality, meeting, and event coordination for all NMC departments and assists with the day-to-day activities of the organization’s operations.  The ideal candidate is well organized, loves to take on a variety of tasks, and works well in collaboration with others.

As this role will be connecting with many external stakeholders, we are looking for a friendly, welcoming professional who loves connecting with people and making them feel valued and accepted on behalf of The Alliance Canada.

KEY ROLE RESPONSIBILITIES

Hospitality, Meeting and Event Support:

  • Oversee the booking of meeting rooms at the NMC.
  • Knowledgeable of technical requirements and set-up for each meeting room and able to assist as required.
  • Coordinate meetings and events for all departments of the NMC as required, both onsite and offsite, from small gatherings to large groups. This may involve:
    • Booking NMC meeting room or offsite location.
    • Gathering event requirements and researching various locations, creating cost-benefit analysis.
    • Communicating with participants.
    • Coordinating travel for meeting participants such as flights, transportation, and lodging.
    • Planning menus, ordering catering, purchasing snacks, setting up food.
    • Plan, purchase, and set-up event decorations.
    • Meeting/event set-up and clean-up.
    • Running errands.
    • Providing tech support (sound, screen, camera, PowerPoints, etc.)
  • Create detailed event plans, schedules, programs, work breakdown structures, and budget reports as required.
  • Coordinate event planning teams for larger events and milestone parties (farewells, retirements, baby showers, etc.). Involve the team in helping with the event and designating roles.

Administrative and Operational Support:

  • Assist Senior Program & Services Manager and HR & Operations Manager with scheduling meetings, building agendas, taking minutes, room tech support, PowerPoints, tracking deadlines/action items.
  • Assist with maintaining various staff lists, updating and creating documents.
  • Assist with vendor communications and procurement.
  • Build ticketing systems, workflows, and projects in Monday.com.
  • Order office and kitchen supplies, maintain inventory.
  • Keep the office and supplies well organized and maintained, communicating any changes to staff.
  • Create and maintain procedures lists and documentation for the role.
  • Answer incoming calls and check voicemails on Mondays & Fridays (office is closed), transfer as needed.
  • Serve as “back-up” reception as needed.
  • Monitor Operations & NMC email inboxes and respond or route to appropriate staff.
  • Visa reconciliation, expenses, & invoice processing.
  • Self-initiate research and ideation as it pertains to the directed outcomes. While many activities are prescribed, The Alliance Canada holds a high value of curiosity, learning, and experimentation and expects staff to actively pursue these activities, as applicable, in their role.
  • Available to assist with other key projects and tasks for their supervisor and other departments as assigned by the Senior Program & Services Manager.

SKILLS & EXPERIENCE REQUIREMENTS

  • 2+ years’ experience in event, hospitality, and/or operations assistance.
  • Experience and a proven proficiency in providing exceptional customer service to all visitors and staff on the phone and in person.
  • Strong organizational skills, with the ability to multitask and meet deadlines.
  • Excellent written and verbal communication skills, with an eye for detail.
  • Ability to work independently and collaborate effectively with cross-functional teams.
  • Advanced knowledge of Microsoft Office (Outlook, Word, Excel and PowerPoint) and PDF editing software. Capacity to learn other software as needed.
  • An energetic self-starter, with a proactive and positive approach to all activities. Demonstrated “can do” attitude to ensure tasks and activities are managed with the utmost efficiency and effectiveness.
  • Collaborative, flexible and adaptable.
  • Proven problem-solving skills with the ability to visualize and deliver creative solutions.
  • Valid Driver’s license with a clean driver’s abstract and access to a vehicle.

EDUCATION REQUIREMENTS

  • College diploma or bachelor's degree in related field.
  • Continuing education or seminars on related skillsets.
