Job Title:  Choir Tour Coordinator – Watoto Canada

Reports to: Operations & Communications Manager 

Department: Choir, Watoto Canada

Location: Burlington, ON


Main Job Purpose

To efficiently and creatively plan, organize, execute, manage and promote the annual Watoto Children’s Choir Tour in Canada.

Qualifications, Experience, and Skills/Abilities Required for Position

  • Degree/Diploma preferred but not required
  • Experience in customer relations would be beneficial
  • The ability to multi-task and to work well under pressure
  • Strong relationship building skills
  • The ability to work independently and innovatively all while working under the direction of management
  • Possess the ability to work professionally and ethically in a team setting
  • Commitment to confidentiality
  • Detail Oriented
  • Excellent organizational skills with a focus on efficiency and accuracy
  • Demonstrate strong professional communication skills, both written and verbal.
  • Able to problem solve and prioritize effectively
  • Demonstrate a strong work ethic and willing to put in extra work whenever required (with compensation)
  • Proven experience using Microsoft Word, Excel, Power Point and online databases
  • A strong focus on relationship building
  • Ability to work to achieve key targets/goals according to a specific plan while showing results
  • A valid driver’s license and passport is required
  • A vehicle is beneficial but not required
  • Able to travel in Canada and abroad upon request
  • Proven cross-cultural communication skills are an asset
  • Ability to communicate in French is an asset
  • Knowledge of Raiser’s Edge NXT an asset


Statements of Responsibility

  • Assist in planning choir goals: product sales, offerings, and child sponsorship for in-country tours
  • Plan and execute in-country tours
    • Map an annual 4 to 6 month children’s choir tour based on past sales and records. Target new venues and geographic locations within Canada based on quantifiable research that proves a successful outcome
    • Generate bookings for 4 to 6 month Watoto Children’s Choir Tour (approximately 120 to 150 performances across Canada depending on the length of the tour)
    • Record updates/changes throughout tour’s, such as address changes, contacts, and start times
    • Work with churches to secure billets and hotel bookings for each night
    • Plan and implement a start of tour orientation for the choir
    • Arrange camps for start, middle and end of tour training or mid-tour breaks
    • Assist with all end-of-tour wrap up duties
  • Correspond with Choir Team Leader on a regular basis
    • Ensure all choir needs are met
    • Collaborate with Team Leader to reach sales and sponsorship targets
  • Communication with church and community partners in Canada
    • Establish new relationships with church and non-church partners
    • Maintain documents and record history of communication with churches and community partners by regular entries into excel files.
    • Prepare venues with all materials needed to run a successful production:
      • Supply all advertising materials
      • Create billeting and team accommodation lists
      • Inform our PR department of updates for media purpose
  • Follow up with churches and hosting partners after visit
    • Send thank you letters with sum of financial donation
  • Call and request feedback for improvement on recent visits
  • Management of merchandise/product (under direction of Operations Manager & Director of Finance)
    • Submit product orders to the international office to ensure adequate time for order completion
    • Order in country merchandise
    • Manage inventory: Track sales, profit margins, profit & loss forecast, etc.
  • Ensure choir is prepared prior to arrival in country
    • When requested, assist Country Director with hiring & managing Bus/Truck Driver(s)
    • Organize transportation for the choir and ensure all required licenses etc. are researched and obtained
    • Create and maintain in country manual for choir – financial procedures, sponsorship procedures
    • Purchase Choir clothing and supplies
    • Ensure stage equipment is functional and up to date
    • Organize medical insurance for the choir
    • Other tasks as required
  • Promoting/Maintaining school campaigns across Canada
    • Collaborate with Communications roles in Watoto Canada on successful marketing strategies, media promotions, and advertisements.
    • Maintain and manage a spreadsheet of media contacts and coverage.
  • Create and maintain the online choir schedule on the Watoto website for public awareness and information
