ADMINISTRATIVE COORDINATOR at Redeemer Bible Church

POSITION SUMMARY:

To provide exceptional administrative support for the staff, volunteers and attendees at Redeemer Bible and to oversee the daily operations of the church office and its functions.

Specific Duties

  • To administrate the operations of the church primarily through expert knowledge and use of Planning Center, our Church Management Software.
  • To answer and respond to phone calls, emails, publications, and correspondence.

Primary Focus

  • Answers and directs phone calls, appointments, and guests throughout the church.
  • Attends Staff Meetings/Church Business Annual Meetings to record minutes of the meetings.
  • Using Planning Center, coordinates and posts the total Church Events Calendar and keeps records of the administrative forms related to all events.
  • Keeps ministerial Staff, Board of Directors, and others informed of crises within the congregation and community.

Office Oversight

  • Ensure that the church calendar is accurate and up-to-date including all pre-booked rooms and ongoing facility uses by various ministries.
  • Provide oversight to office volunteers
  • Assist with general administrative duties, including but not limited to: answering emails, booking rooms, booking travel, refreshing office supplies, liaison with service & equipment providers, etc.

Board Support

  • Manage the church membership list
  • Prepare documents as needed

Administrative Responsibilities

  • Maintains church files in cooperation with the Executive Director (ED) and Church Treasurer.
  • Prepares, edits and produces all church publications including weekly Church Redeemer Connect.
  • Takes and screens any phone calls coming to the Church office.
  • Serves as the administrative lead on all facility rentals, ensuring that all rental forms have been completed to and returned by the renter and to the Executive Director for review. Forms should be electronically filed and made accessible to the Deacon Committee.
  • Responsible for spending done using the Church credit card, and the subsequent monthly bills, distributing each cost to the appropriate church account.
  • In cooperation with the Pastor and Executive Director, is responsible for obtaining and distributing gift cards as a benevolent gift, within Redeemer Bible Church primarily and the community as the need is determined.
  • Responsible for ordering all supplies for the RBC office and staff, as well as Redeemer ministries as required.
  • Keep minutes at Staff Meetings and sends them to the Executive Director for review
  • Distributes minutes upon ED’s direction using HR program Collage
